AnswerBee ("we", "us", "our") operates as a Data Controller and Data Processor in respect of personal information collected through our virtual receptionist and AI call management services.
- Data Controller: AnswerBee controls personal data collected via our website (answerbee.co.uk) for account management, billing, and marketing.
- Data Processor: AnswerBee acts as a Data Processor when collecting and processing caller details, transcripts, and messages on behalf of our business clients.
2. Information We Collect
- Client Account Information: Name, business name, email address, phone number, billing address, and payment details (processed by our payment provider).
- Caller Information (Inbound Calls): Caller phone numbers (CLI), caller names, call timestamps, voicemail recordings, call transcripts, and specific message details left by callers.
- Technical & Usage Data: IP addresses, browser types, device identifiers, and website usage logs via essential cookies.
3. How We Use Personal Data
We process personal data under the following lawful bases pursuant to the UK GDPR:
- Performance of Contract: To answer inbound calls, route messages, send instant SMS/email summaries, schedule appointments, and manage client accounts.
- Legal Obligation: To comply with tax, financial reporting, and statutory obligations.
- Legitimate Interests: To prevent fraud, ensure network security, and maintain service quality.
4. AI Data Processing & Security
- Transcripts & Summaries: Inbound calls handled by our AI system are processed in real time to create text summaries and log caller requests.
- AI Providers & Model Training: We aim to use AI service providers whose terms do not allow caller transcripts, voice recordings or other client data to be used to train their general-purpose AI models.
- Security & Storage: We use industry-standard security measures, including encryption in transit where available, and we choose service providers that apply appropriate technical and organisational safeguards. Some of our providers may store or process data outside the UK; where this happens, we take steps to ensure appropriate safeguards are in place.
5. Third-Party Data Sharing
We do not sell, rent, or trade personal data to third parties. We share data only with trusted sub-processors necessary to deliver our services:
- Telecommunications Providers: For routing calls and transmitting SMS alerts.
- Payment Processors: For secure billing and payment handling.
- Cloud Infrastructure Providers: For secure hosting and database management.
6. Data Retention
- Client Account Data: Retained for the duration of your active subscription plus 6 years to satisfy statutory tax and legal accounting requirements.
- Caller Transcripts & Messages: We aim to delete or anonymise these within 90 days of the call, unless the account holder asks us to keep them for longer.
7. Your Data Protection Rights (UK GDPR)
Under UK data protection law, you and your callers have rights including:
- Right of Access: Request a copy of the personal data we hold about you.
- Right to Rectification: Request correction of inaccurate personal data.
- Right to Erasure ("Right to be Forgotten"): Request deletion of your personal data under certain conditions.
- Right to Restrict or Object: Object to or restrict processing of personal data.
